Founder & Lead Analyst · Revenue cycle background

Years inside healthcare revenue cycle and operations analytics before founding Data Visuals M.A.D. Builds Power BI dashboards specifically for clinics, multi-location practices, and ambulatory groups that need real-time visibility into denials, AR, and provider productivity — without a full-time data team.

Sound familiar?

  • You're reconciling AR aging and denials manually every month — a process that takes days and still misses patterns.
  • Leadership has no real-time visibility into which payers are slow-paying or which denial codes are costing the most.
  • Provider productivity is tracked in the billing system but never combined with scheduling or revenue data.
  • You find out about a cash flow shortfall 2–3 weeks before it's a problem — not early enough to act.

What you get instead

  • Denial rate by payer, code, and provider — updated daily so you spot patterns before they compound.
  • AR aging dashboard pulled automatically from your billing system — no manual export, no reconciliation spreadsheet.
  • Cash flow forecast with 30/60/90-day visibility based on expected collections, aging, and historical payer behavior.
  • Provider productivity: RVUs, collections, visits, and denial rates by provider in one view.

Your dashboard will track

Every metric defined in plain English and calculated consistently — no more arguing about which number is right.

Denial Rate by Payer
Denial % broken down by payer, code, and provider — updated daily.
AR Aging
Receivables by age bucket (30/60/90/120+) automatically pulled from billing.
Cash Flow Forecast
Expected collections vs. expenses — 30/60/90-day visibility.
Provider Productivity
RVUs, collections, and visit counts by provider — all in one view.
Collection Rate
Collections vs. charges — track payer performance over time.
Days in AR
Average days in AR by payer — flag slow payers before they age out.

"We went from monthly printouts to a live dashboard that flags denial patterns same-day. Leadership can now spot cash flow risk weeks earlier than before."

Healthcare RCM dashboard questions

What is RCM analytics and why does a small clinic need it?
Revenue Cycle Management (RCM) analytics is the practice of tracking and analyzing every step from patient encounter to final payment — charges, claims, denials, AR aging, and collections. For a small clinic, it's the difference between finding out about a payer denial pattern in two days versus two months. The earlier you see the pattern, the more money you keep.
How do I track denial rates by payer and code?
We pull your 835/EOB and claim-level data into a centralized SQL data hub, then a Power BI dashboard breaks denial rate down by payer, CPT code, denial reason code (CARC/RARC), and provider. The dashboard flags new denial patterns and shows trend over time so you can react before the pattern compounds.
What EMR and billing systems do you connect to?
We connect to Athenahealth, eClinicalWorks, NextGen, Kareo/Tebra, AdvancedMD, DrChrono, Practice Fusion, Greenway, and most other EMR/PM platforms with an API or scheduled export. For billing-only data we work with claim files directly from your clearinghouse.
Is the dashboard HIPAA-safe?
Yes. We build the data hub in your Microsoft tenant (Azure SQL) under your existing BAA and Power BI access controls. Row-level security limits each user to the data they're authorized to see. PHI never leaves your environment — we operate inside it.
What healthcare KPIs should a small practice track?
The most useful KPIs for a small practice: denial rate by payer and reason code, AR aging by 30/60/90/120+ buckets, days in AR by payer, net collection rate, charge lag, and provider productivity (RVUs, visits, collections, denials). These six tell you whether the revenue cycle is healthy and where the leaks are.
How much does a healthcare RCM dashboard cost?
Plans start at $95/month with a $950 one-time setup. Most multi-location clinics use Growth ($125/mo, $1,750 setup) or Professional ($195/mo, $3,500 setup) to combine EMR, billing, and scheduling data. Power BI Pro is included.
